Privacy at a glance
- We never sell your personal information.
- Employers see your skills first. Verified employers see your display name (or a candidate number, if you use anonymous mode) with your scores and brief profile. Your full profile and video are shared only when you accept an introduction, and your full name, phone number, email address and resume only when an employer makes you a job offer.
- Facial images are collected during assessments only to confirm it is really you sitting the test, and only with your consent.
- Students under 18 need a parent or guardian's consent before employers can see their profile.
- You are in control. You can see, correct or delete your information at any time.
1. About this policy
Exemplar Talent Connect is operated by Exemplar Performance Advantage Pty Ltd (ABN 58 002 263 943) ("Exemplar", "we", "us"). This policy explains how we handle personal information when you use exemplartalentconnect.com.au, the assessment and talent portal at skillstest.exemplarpa.com.au, and our related services.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy applies to students, graduates and job seekers ("candidates"), parents and guardians, teachers and schools, employers, referral partners and website visitors.
2. What we collect
Candidates: name, date of birth, email, phone, suburb and state, education and qualifications, work history, resume, optional video introduction, career preferences, availability, right-to-work status, other certifications (for example First Aid), assessment responses and results, credentials, and your activity on the platform.
Parents and guardians: name, relationship to the student, email, phone and your consent record.
Employers: business name, Australian Business Number (ABN), contact names, roles, email, phone, membership and billing details, search criteria, messages with candidates and hiring records.
Teachers and schools: school name, contact names, roles and contact details when you request a session or resources.
Referral partners: name, contact and payment details needed to pay referral commissions, and records of referrals.
Website visitors: technical information such as device, browser, pages visited and approximate location, collected through cookies and analytics.
Payments are processed by our payment provider. We do not store full credit card numbers.
3. Sensitive information, including facial images
To protect the integrity of every credential, we use facial recognition during assessments. We compare your photo identification with images captured while you sit the test to confirm that you are the person taking it. Facial images used this way are biometric information, which the Privacy Act treats as sensitive information.
- We collect biometric information only with your consent, which you give before starting an assessment.
- We use it only to verify identity and investigate assessment integrity concerns. We never use it for marketing, and we never share it with employers.
- Employers see only that your identity was verified.
We do not ask for other sensitive information, such as health information or racial or ethnic origin. If you choose to tell us about a disability so we can make an adjustment to an assessment, we use that information only for that purpose.
4. How we collect it
We collect most information directly from you: when you register, sit an assessment, build a profile, give consent, contact us or use the platform. Some information comes from others, for example a parent completing a consent form, an employer recording a hire, or a school or referral partner introducing you. If we collect information about you from someone else, we take reasonable steps to let you know.
You can browse our website without identifying yourself. You cannot sit an assessment or have a profile without giving us your identity, because verified credentials depend on it.
5. How we use it
- To deliver, score and verify assessments, and to issue your credential, Quick Response (QR) code and LinkedIn badge
- To show your profile to employers and connect you with job opportunities
- To verify employers before they can access the platform
- To seek and record parent or guardian consent for students under 18
- To process payments, memberships, placement fees and referral commissions
- To keep the platform safe, including investigating reports and preventing misuse or cheating
- To answer your questions and provide support
- To improve our assessments and services, using de-identified or aggregated data wherever possible
- To meet our legal obligations
6. Who we share it with
Employers. Verified employers can see a preview of your profile: your display name (or a candidate number, if you use anonymous mode), scores, suburb, availability, interests, education level and certifications. Your full profile and video are shared only when you accept an introduction request. Your full name, phone number, email address and resume are shared only when an employer makes you a job offer through the platform. Employers must use your information only for recruitment, under their Employer Partnership Agreement.
Parents and guardians. If you are under 18 and your parent or guardian asks to receive copies of employer enquiries, we share those with them.
Service providers. We use trusted providers for website and platform hosting, learning management system (Moodle) support, email, payment processing and analytics. They may handle personal information only to provide services to us, under confidentiality obligations.
Related organisations. Exemplar Talent Connect is also offered through our licensed partners: Australia India Business Pty Ltd (AIB), Australia India Business Queensland Pty Ltd (AIBQ) and AIBX Enterprise Pvt Ltd, a vocational training joint venture based in India. Where a partner introduces or supports you, we share the information needed for that purpose.
Referral partners. If a referral partner introduced you, we tell them that you registered or purchased, so their commission can be paid. We never share your assessment results or profile with them.
As required by law. We may disclose information when required or authorised by law, or to prevent a serious threat to someone's life, health or safety.
We never sell, rent or trade personal information.
7. Overseas disclosure
Some of our support and administration staff, contractors and partners are based in India, and some service providers may store data in other countries. Personal information may therefore be accessed from or stored in India and other countries where our providers operate. We take reasonable steps to ensure overseas recipients handle personal information in line with the Australian Privacy Principles.
8. Automated scoring and matching
Assessments are marked by computer, and the platform automatically calculates a "skills match" between candidates and the criteria employers set. These results influence which candidates employers see first. Hiring decisions are always made by people at the employer, not by our platform. If you think a score is wrong, contact us and we will review it.
9. Students under 18
Candidates must be at least 16. Students aged 16 or 17 can register and sit assessments, but their profile, including their display name, is not shown to any employer until a parent or guardian gives consent through our consent form. For candidates under 18, we may give the parent or guardian copies of introduction requests and of messages with employers, and we tell the parent or guardian about any job offer. Parents and guardians can contact us at any time about their child's information. Our Child Safety Policy explains how we protect young people.
10. Marketing
We may send you information about Exemplar Talent Connect services, such as new assessments or opportunities. Every marketing email includes an unsubscribe link, and you can opt out at any time by contacting us. We do not send marketing to students under 18 without parent or guardian consent, and we never pass your details to others for their marketing.
11. Cookies and analytics
Our website and platform use cookies to keep you signed in, remember preferences and understand how the site is used. You can block cookies in your browser settings, but parts of the platform may not work without them.
12. How we protect it
We protect personal information with measures that include secure hosting, encrypted connections, access limited to staff who need it, individual logins, regular security reviews of our platform, and confidentiality obligations on staff, contractors and providers. No online system can be guaranteed completely secure, so please keep your password private and tell us straight away if you think your account has been compromised.
13. How long we keep it
- Profile information: until you delete your profile. Personal information is then deleted within seven days, except where the law requires us to keep it.
- Credentials and results: kept for as long as needed to verify your lifetime credential, unless you ask us to delete them.
- Facial images: kept only as long as needed to verify the assessment and resolve any integrity review, then securely deleted.
- Financial records: kept for the periods required by tax law.
Employers who unlocked your profile before you deleted it may keep the information you shared with them for their recruitment records, as permitted by law.
14. Access and correction
You can view and update most of your information in your account. You can also ask us for a copy of the personal information we hold about you, or ask us to correct it. We will respond within 30 days and will not charge you for making a request. If we refuse a request, we will tell you why and how to complain.
15. Data breaches
If a data breach is likely to cause serious harm, we will notify the people affected and the Office of the Australian Information Commissioner (OAIC), as required by the Notifiable Data Breaches scheme.
16. Complaints
If you have a concern about how we have handled your personal information, please contact our Privacy Officer using the details below. We will acknowledge your complaint within five business days and aim to resolve it within 30 days.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
17. Changes and contact
We may update this policy from time to time. The current version is always published on this page, and we will tell registered users about significant changes.
